How to run a Secret Santa with this questionnaire

  1. Agree on the basics first: who is taking part, the spending limit, and the date and place of the exchange.
  2. Print one questionnaire per person, or send the PDF so people can print their own.
  3. Ask everyone to return their sheet by a set date. The Exchange details box at the top is for you to fill in before copying, so everyone sees the same rules.
  4. Draw names. Give each person the questionnaire of the person they drew, folded or in an envelope, so it stays secret.
  5. On the day, put the gifts in one place and hand them out, or let people open them one at a time.

Tips for the organizer

  • Pick a spending limit everyone in the group is comfortable with, and print it on the sheet so nobody has to guess.
  • If couples or housemates are in the same group, decide in advance whether they can draw each other.
  • For remote groups, people can photograph or scan their completed sheet. Agree on a mailing deadline if gifts will be posted.
  • Keep a private list of who drew whom in case someone loses their sheet or cannot come on the day.
  • Track your own shopping on the Christmas gift list, and if the exchange is part of a party, use the guest list tracker and party shopping list.

Tips for filling it in

  • Be specific: "dark chocolate with sea salt" is more useful than "chocolate".
  • List a mix of cheap and slightly bigger ideas so your Secret Santa can choose within the limit.
  • Use Please avoid for allergies, strong dislikes and things you already have too many of, such as mugs or candles.
  • If you are happy with a gift card, say which shops.

When the answers are short

If someone only writes a few words, look at the hobbies line and the favorite snack and drink. A small treat they named plus something connected to a hobby is a common, simple combination. When in doubt, a gift card for a shop they listed keeps it within the limit.

Frequently asked questions

When should I hand out the Secret Santa questionnaire?

Hand it out before names are drawn and collect it a few days later. Many groups do this two to four weeks before the exchange so there is time to shop or ship.

What spending limit should we set?

That is up to your group. Choose a round number that everyone is comfortable with and write it in the Exchange details box so the rule is clear.

Can we do a Secret Santa online or by mail?

Yes. People can photograph or scan their completed sheet and send it to the organizer, who forwards each one privately to the person who drew that name.

Does it work for kids or a classroom?

Yes. Younger children may need help writing, and teachers or parents can remove the sizes section or set a small fixed limit.

Is there a version without sizes?

The sizes section is marked optional. People can leave it blank, or you can cover it before copying.
